1. How to Request Deletion
You can initiate data deletion in three ways:
- Self-service: Log into your dashboard → Settings → Account → "Delete Account & Data".
- Email request: Send a request to privacy@electera.ai from the email address associated with your account.
- Authorized representative: Under GDPR, EU residents may appoint a representative to submit a request on their behalf with written authorization.
We verify your identity before processing any deletion request to protect your account from unauthorized access.
2. What Data Gets Deleted
When you request deletion, we remove the following:
- Account information: name, email, organization, billing details, authentication credentials.
- Customer data: all models, files, datasets, and inference input/output logs you uploaded or that were generated through our Services.
- Usage & billing history: API call logs, resource consumption records, invoices (anonymized summary data may be retained for aggregate reporting).
- Communication records: support tickets, chat transcripts, and correspondence.
- Website cookies & identifiers: browser-local data tied to your sessions.
3. Deletion Timelines
- Immediate: Access to your account and active endpoints is revoked within 24 hours.
- Standard deletion (30 days): Most Customer Data and account information is permanently removed from production systems within 30 days.
- Backups & archives: Data is purged from backup systems within 90 days of the deletion request.
- Logs: System logs containing your identifiers are rotated and deleted within 180 days.
4. Exceptions — Data We Must Retain
In certain cases, we are legally or operationally required to retain some information even after a deletion request:
- Legal obligations: tax records, anti-money-laundering documentation, and records required by court orders or regulatory investigations.
- Outstanding billing: transaction records related to unpaid invoices until settled.
- Safety & security: records needed to enforce our Terms of Service or to prevent fraud, abuse, or harm to our Services (limited to the minimum necessary).
- Aggregate statistics: anonymized, non-identifiable usage statistics that cannot reasonably be linked back to you.
5. Third-Party & Derived Data
If you used Electera AI to process data on behalf of third parties (e.g., your customers), you are responsible for informing those parties of the deletion. We do not independently contact them unless required by law. Data we shared with service providers under confidentiality agreements will be deleted by those providers in accordance with their own data retention commitments.
6. Children's Data
If we discover that we have collected personal data from a child under 16, we will delete it immediately upon discovery. If you believe a child has provided us with personal information, please contact privacy@electera.ai.
7. Confirmation of Deletion
Upon your request, we will send a written confirmation once your data has been fully deleted. This confirmation will include:
- The date the deletion was completed.
- Any data retained under the exceptions above, with reasons.
- A contact point for follow-up questions.
8. Your Rights by Region
European Union / UK (GDPR)
You have a right to erasure ("right to be forgotten") under Article 17 of the GDPR. Requests are processed free of charge within 30 days.
California (CCPA / CPRA)
California residents have the right to request deletion of personal information collected in the prior 24 months. We will respond within 45 days.
Other Jurisdictions
We honor deletion requests from all users globally, consistent with local applicable law.
9. Data Portability Before Deletion
Before requesting deletion, you may wish to export your data. You can download your account data, models, and logs anytime from your dashboard under Settings → Export Data. After deletion, this data will no longer be accessible.
